Privacy Policy
We care about your privacy and your students’. Under Taiwan’s Personal Data Protection Act, this policy explains how Counting Co. (“we”, operating the Cyber Tutor brand) collects, processes and uses personal data on our website and in our products.
1. Scope
This policy covers our website twctchem.com and PDF-Tutor (including the Teacher Console’s classrooms and admin center, the Reading Room and the Exam Bank). Each product handles data differently, as explained below.
2. What we collect and why
2.1 Website contact form
When you fill in the contact form we collect what you choose to give us: your name, email, organization, role, product of interest, subject and message, and it is relayed to our inbox through the third-party form service Web3Forms. We use it to reply to your enquiry, share product information and arrange demos or trials.
2.2 Browsing the website
Our website currently uses no advertising or behavioural analytics tools and sets no tracking cookies. Our hosting provider may log basic connection data (such as IP address, browser type and access time) for operations and security. Our pages also load fonts from Google Fonts, so when you visit, your browser requests them from Google’s servers and Google receives your IP address and browser information.
2.3 PDF-Tutor accounts and learning data (cloud version)
The cloud version requires you to sign in. Depending on the features you use, we process:
- Account data: your username and sign-in password (passwords are not stored in plain text). Accounts created by a teacher also include the name the teacher entered.
- Learning content: the homework PDFs you upload, question markers, your conversations with the AI, mistake notebook, learning profile and progress.
- Reading Room data: reading notes, highlights, vocabulary and flashcards, quiz records and reading progress. Book files stay on your device by default and reach the cloud only if you upload them.
- Usage records: your daily AI usage count, and for each AI request its time, account, model and service used, result and usage. These records do not store your prompts or the full AI answers.
We use this data to provide, maintain and improve the product, sync across devices, manage usage limits and keep the service secure.
3. Where data is stored
PDF-Tutor can be used in two ways:
- Standalone mode: homework and conversations stay in your own browser’s local storage and are not uploaded to our servers. AI features need your own AI service key (for example Google Gemini), and what you select goes straight from your browser to the AI service you configured, not through us.
- Cloud mode: homework, mistake notebook, learning profile and Reading Room data are stored in cloud storage so you can sync across devices after signing in. Each account’s data is isolated, and deleting a homework file deletes both the cloud and local copies.
4. What is sent to AI services
When you tap a question for an explanation, ask a follow-up, have your work checked, or translate, explain or generate quizzes in the Reading Room, the page images, text, screenshots, attached photos and conversation you select are sent to an AI service to produce the answer. In the cloud version, the AI service and model are set by the service administrator.
Please avoid putting sensitive personal data unrelated to learning, such as ID numbers or bank details, into homework or attachments.
5. Administrator and teacher access
When a school or teacher uses the admin center, administrators can see the account list and usage statistics, and can view students’ cloud homework, Reading Room data and conversations in read-only mode. Read-only means administrators cannot edit, delete or download this content, and every view is recorded in an audit log.
Teacher accounts can only see, for students in their own classrooms, the username, the name the teacher entered, active status, last sign-in time and daily AI usage. They cannot view homework, Reading Room data or conversations. Every time a teacher creates, adds, enables, disables or removes a student, it is recorded in the administrators’ audit log.
6. Period, area, recipients and methods of use
- Period: while the account exists, or as long as necessary to achieve the purpose of collection. When an account is deleted, its cloud data is deleted with it; contact-form data is kept for a reasonable period after your enquiry is handled.
- Area: where we operate and where our hosting, form and AI service providers operate, which may be outside Taiwan.
- Recipients: us and the contractors who help us deliver the service (website hosting, Google Fonts, Web3Forms form delivery, cloud storage and AI services). Admin access is limited to that organization’s administrators and, within the limits in section 5, the teacher of the student’s classroom. We do not sell your personal data.
- Methods: processed electronically and used only within the purposes above.
7. Cookies and local storage
Our website does not use tracking cookies. PDF-Tutor uses cookies and your browser’s local storage to keep you signed in, remember language and interface settings, and cache homework on your device. You can clear this data in your browser settings at any time.
8. Your rights
Under Article 3 of the Personal Data Protection Act, you may exercise the following rights over your personal data:
- Enquire about or request to review it
- Request a copy
- Request additions or corrections
- Request that we stop collecting, processing or using it
- Request deletion
Write to sales@twctchem.com with information that lets us verify your identity and we will respond within a reasonable time. Where a school or teacher created an account for a student, we may confirm requests involving account and class data with that organization first.
9. If you choose not to provide data
If you leave out required fields in the contact form we cannot reply to you. Without a cloud account you cannot use features that require signing in, such as cross-device sync and the Exam Bank.
10. Data security
We apply reasonable technical and organizational measures, including encrypted connections, account access controls, isolation between accounts and encrypted storage of AI service keys. No online service can guarantee absolute security; if an incident may affect your rights, we will notify you as required by law.
11. Children and minors
Access arrangements and consent
Our student users include minors, who may use the service through a school or teacher, or on their own. For school- or teacher-arranged use, the school or teacher must complete the notices and obtain the consents required by law before use begins. Minors using the service on their own must first obtain consent from a legal guardian.
Current account controls and usage limits
Cloud accounts are created with an invite code or in bulk by a teacher. Teachers can enable or disable accounts in their own classrooms, and administrators can set daily AI usage limits. These measures manage accounts and usage; they do not replace age verification, confirmation of guardian consent or content filtering, and do not guarantee that AI responses suit every age group.
Safe use and reporting concerns
Explanations, feedback and reading assistance are generated by AI and may be incomplete or wrong. Check important content against learning materials with a teacher or legal guardian. Avoid including personal data unrelated to learning in homework, photos or conversations. If you encounter an inappropriate response or a privacy concern, stop that interaction. You, your legal guardian, school or teacher can email sales@twctchem.com with a brief description of the issue and how the service was being used. We do not ask for passwords or complete student records when reporting a concern; remove unnecessary personal information before attaching screenshots.
Future educational uses of Claude
We currently use Claude to support product development; future educational uses remain exploratory. Before introducing Claude features that minors interact with directly, we will assess age-appropriate use, content safety and data handling, and update the relevant notices when actual usage or data handling changes.
12. Changes to this policy
We may revise this policy as products or laws change. Revisions are posted on this page with an updated “Last updated” date, and we will notify you of significant changes in an appropriate way.
If you have any questions about this document, please write to sales@twctchem.com.
